A document request is part of the guest experience
One guest needs an invoice addressed to their company, another only needs the receipt for payment, and someone in a group wants a document for their share. If that information arrives without context at the very end, staff need to reconstruct names, amounts and recipient details. A clear document workflow starts with a brief conversation.
Bonzumo keeps receipts and invoice information within payment context and provides an assistant for entering recipient details. The practical benefit is organisational: staff can relate the request to an existing transaction instead of translating a private note into a later checkout action. The output routes available to your venue are discussed during configuration.
Connect the document, payment and recipient
Three questions should remain answerable: which sale the document belongs to, which payment relates to it and who should receive the invoice. These become especially important when a group splits a bill. A company name on its own does not establish which portion of the meal it covers.
Clarify early whether the guest is paying for the entire table or selected items. Record the details through the corresponding process. Bonzumo connects recipient entry with the relevant checkout steps. During training, show staff this whole relationship rather than introducing the fields without explaining the transaction behind them.
Capture recipient information clearly
Bonzumo’s invoice assistant contains fields for company, name, address and email. The information is brought together in an overview before confirmation, providing a useful point for checking it with the guest. Correct spelling and a complete address matter when the document needs to reach the intended recipient.
Pay attention to information that is easily misunderstood: similar street names, building-number additions and email addresses dictated aloud. Let the guest review the information where the configured process allows it. The details required for a particular case are established with the relevant specialists and venue configuration; this guide focuses on practical entry and coordination.

Use the input method that fits the workstation
Venues work with different devices. A conventional keyboard can be convenient at a fixed till, while a touch device needs an on-screen option. Bonzumo’s assistant supports editable form fields alongside its integrated on-screen keyboard. This allows the input method to reflect the workstation being used.
Do more than type a short example word during introduction. Use a realistic company address and a longer email address. Review correcting a mistake and moving between fields. That tests the input your team will actually perform. A quick demonstration with a few characters says little about capturing invoice details comfortably during service.
Consider guest-side entry where appropriate
The invoice assistant also contains a workflow in which a guest opens a code with their own phone and enters details. Whether and how this is used at your venue is part of setup. Manual entry remains a separate available approach.
Discuss when guest-side entry would help. Someone providing a long company name may prefer to enter its exact spelling themselves. For a short address, or for a guest without a suitable phone, staff-assisted entry may be easier. The important outcome is a clear relationship to the correct transaction, rather than using a particular device for its own sake.
Check the overview before confirming
A useful review covers recipient, address, contact details and the relevant invoice portion. Ask specifically whether the company name should appear exactly as entered. For a group, also establish which services the guest is paying for. This brief review can avoid a later search for why a document was assigned incorrectly.
Treat a completed document differently from details still being prepared. Later corrections and questions follow their designated process. Creating a new sale is not a substitute for resolving a document request. Bonzumo provides transaction context, and your team should know who handles an exceptional case.
A business-meal example with separate payment
Three people dine together. One pays only their own share and needs an invoice to their company. The server first clarifies the allocation, then enters and checks the recipient details in the corresponding flow. This avoids attaching the company request to the entire table simply because everyone ate together.
Another guest wants an ordinary receipt without additional recipient information. The requests can be handled differently while remaining tied to their respective transactions. This mixed situation is valuable in a Bonzumo demonstration because it connects splitting, recipient entry and output, and shows when staff should ask for the necessary details.
Keep recipient information out of unnecessary side lists
Writing company information on loose paper or in personal notes creates a second information route beside checkout. Later, staff may be unsure which table the address belongs to or whether it has already been transferred. Use the relevant context in Bonzumo’s assistant for the intended request and agree who completes the entry.
The organisational objective is not to collect as much information as possible. It is to capture the details required for the actual transaction. Staff should know why a field is being requested and how to explain the next step. A short, understandable explanation feels more professional than asking for every available detail without context.
For a follow-up question, start from the existing transaction. Do not attach an address to another sale simply because the guest has a similar name. If the association is uncertain, the designated colleague clarifies it before taking the next step. This helps avoid confusion when a document is requested again after the visit.
Use a realistic company address in the demonstration
A short example name is easy to enter but does not represent many business invoice requests. Include a longer company name, a street address with a building number and an email address containing several parts. The employee should enter the information, correct a mistake and explain the overview.
Review the interaction with the guest too. Who checks the spelling, and when is it confirmed? If guest-side entry is planned, follow that route and consider when manual entry would be more appropriate. The useful question is whether the complete process works for the workstation, not simply whether a code can be shown on a screen.
Bonzumo provides different input approaches. Which is comfortable depends on the device and situation. A meaningful comparison therefore includes a real entry task and a typical interruption, after which staff return to the existing details. This reveals whether they understand where they are in the process.
Pay attention to contact details during that review. Similar characters or a missing part of an email address are easier to catch while the guest can confirm them. Staff should not guess an uncertain spelling merely to move to the next screen. The value of the overview is that it creates a deliberate point for resolving those small but consequential questions.
Prepare for requests made after the visit
Some guests contact the restaurant later about a document. A clear responsibility helps prevent such a request being mistaken for a new payment task. Decide what information is needed to identify the visit and which output routes the venue uses. A concrete reference to the actual transaction is more useful than guessing which document was intended.
Consider this follow-up during introduction. The original service conversation, recipient entry and later enquiry belong together organisationally, even if different colleagues handle them. Bonzumo supplies transaction context; your operating agreement ensures the enquiry reaches the right person and receives an understandable response.
This does not require every employee to resolve every invoice question. It requires them to recognise the request, gather the agreed identifying information and refer it appropriately. Staff can then explain what will happen next without inventing a promise about a document they have not reviewed. A well organised response complements the original checkout and makes the service feel consistent after the guest has left.
Questions about receipts and invoice information
Can recipient details be entered with a normal keyboard? The assistant uses editable form fields and additionally provides an on-screen keyboard. Review both with the device combination planned for your venue so staff know the appropriate approach.
Must guests enter information on their own phone? No. Guest-side entry is one available route in the configured workflow; manual entry is also present. The appropriate choice depends on the situation and setup.
What should be agreed before use? Responsibility for special requests, the specific document output routes and the venue’s professional requirements. Bring a realistic company address and a split-bill example to the demonstration. This makes it possible to assess the feature through a genuine guest interaction.
