
Plan departure before the last login
When someone leaves, rota, responsibilities and system access change. Do not wait until somebody notices an account still works. Record the last working day, affected areas and the person responsible for removing access. Bonzumo supports personal logins and roles; the specific departure routine belongs to the venue.
Distinguish a final departure from temporary absence. Expired cover needs a different decision from the end of employment. In both cases, nobody should share a private password to rescue open work. Hand the work to another authorised person in a controlled way.
Hand over open tables and tasks
A departing colleague may still own tables, know about reservations or be helping with an unresolved payment. Before access ends, someone else should own that work. Note open tables, unresolved guest questions and payments requiring review for the shift. This is a work handover, not a transfer of the persons identity.
The incoming colleague uses personal access and sees the relevant transaction state. For an unclear terminal result, they inspect the existing payment rather than start it again. An order already sent to kitchen also need not be resent because service changes. Responsibility stays traceable and guests experience as little disruption as possible.
Review devices and external accounts too
A Bonzumo account is one part of a workplace. The person may also have a tablet, a key or a separate account with a payment or reservation provider. List those items separately at departure. Changing a Bonzumo role cannot automatically close a third-party account. Ask the responsible owners which accounts, devices and information must be returned or removed.
A simple list with owner, service and confirmation is more reliable than individual shift leads memories. Check shared devices in particular: is a personal session still open? Are credentials kept in private messages or at a workstation? Resolve such findings methodically without disrupting service. The venue regains a clear view of its working tools.
Do not forget time-limited grants
Unnecessary access does not only follow departures. A shift cover may receive extra rights for one week and then return to ordinary duties. Record the intended end when approval is granted. At that date, check that tasks have been returned and remove the extra access. Without this step, permissions quietly accumulate with every cover period although current responsibility does not change.
Consider a colleague covering rota edits during a holiday. They may need one additional action for that week, but not permanent access to all personnel documents. After cover ends, test the normal role again: daily tasks work and the temporary action no longer does. This is a clear everyday check, not an abstract security exercise.
Keep history and records understandable
Ending access should not make earlier work impossible to explain. Orders, time entries and approvals are part of the operating history. A person handling a later question should understand the transaction and responsibility without signing in as someone who has left. Test the view for an authorised lead or administrator.
Personnel documents and employment records raise their own retention and privacy questions. This page cannot promise one universal period or legal answer. Decide with appropriate advice who still needs records and when deletion or archiving applies. Operationally, old accounts are not tools for new work, while authorised people can investigate historical questions in an orderly way.
Test the full route with one example
In a demo, use one person with a normal service role, a week of management cover and then departure. Which rights exist at each point? How does open work move to a new owner, and how does the responsible person confirm access removal? Test one denied action after cover ends. The whole lifecycle shows more about daily usability than creating a profile once.
An orderly process saves later questions when someone takes over a shift or explains an old transaction. It protects sensitive areas and treats departing people fairly. Bonzumo supplies identity and work context; the venue assigns responsibility for approval, handover and ending access. Staffing can remain flexible without leaving unnecessary accounts open.
